What this policy covers

This policy covers our website sparcley.co.uk, enquiries you send us through the contact form, by email, by phone or on WhatsApp, and the Google reviews we show on our home page.

Our client portal at crm.sparcley.co.uk is a separate system used only by our clients under their agreement with us.

The rules for using the website itself are in our Website Terms of Use.

Information we collect and why

For each activity below we explain what we collect, why, our lawful basis under the UK GDPR and how long we keep it.

Contact form

What
Your name, email address and message, and the service you choose (optional), sent from the form on our contact page.
Why
To reply to your enquiry and, if you ask, to prepare a quote.
Lawful basis
Steps you ask us to take before entering into a contract (Article 6(1)(b)). If your message is not about our services, our legitimate interest in replying to messages we receive (Article 6(1)(f)).
How it reaches us
The form sends your message from your browser to EmailJS, which delivers it to us through our email providers (Google and Hostinger).
How long
We keep your enquiry for as long as we need it to reply to you and deal with any follow-up. If you become a client, it becomes part of our client records, which we keep for as long as we work with you and afterwards for as long as the law requires (for example, tax and accounting rules). If you do not become a client, we delete your enquiry once we no longer need it.

Emails, phone calls and WhatsApp

What
Your contact details and anything you tell us.
Why
To reply to you and deal with your request.
Lawful basis
Steps you ask us to take before entering into a contract (Article 6(1)(b)), or our legitimate interest in replying to messages we receive (Article 6(1)(f)).
How long
As for the contact form above. WhatsApp is provided by WhatsApp (Meta), which applies its own privacy policy to messages you send there.

Spam protection on the contact form (Google reCAPTCHA)

What
Your IP address, information about your browser and device, and how you use the reCAPTCHA checkbox. reCAPTCHA loads only on the contact page, after you start filling in the form.
Why
To protect the form and our mailbox from spam and abuse.
Lawful basis
Our legitimate interest in keeping the form secure (Article 6(1)(f)).
How long
Google keeps this information under its own rules. Google’s Privacy Policy and Terms of Service apply.

Website analytics (only with your consent)

What
The pages you view, how you arrived (for example from a search engine or a link), events such as a click on our video link, your device and browser, and your approximate location, which Google works out from your IP address. Google states that Google Analytics 4 does not log or store the IP addresses of visitors in the UK and EU. With the same consent we also load our Google tag (GT-M6BPSTFP).
Why
To understand how the website is used so we can improve it.
Lawful basis
Your consent (Article 6(1)(a)). Analytics stays off unless you select “Accept all” or switch Analytics on in Cookie settings, and you can withdraw your consent at any time.
How long
Google Analytics keeps user-level and event-level data for the retention period set in our Google Analytics account, which is no longer than 14 months. The analytics cookies last up to 2 years (see our Cookie Policy).

Hosting and security logs

What
When you open any page, our hosting provider processes your IP address, the page requested, the date and time, your browser’s user agent and the page you came from, as part of normal server logs.
Why
To deliver the website securely, find and fix errors and prevent abuse.
Lawful basis
Our legitimate interest in running a secure website (Article 6(1)(f)).
How long
Our hosting provider keeps server logs for a short period for security and troubleshooting.

Your cookie choice and language

What
Your cookie choice (the sparcley_consent cookie) and, if you use the language switch, the language you chose (sparcley-lang in your browser’s local storage). We do not use them to identify you.
Why
To remember the choices you make on the website.
Lawful basis
Our legitimate interest in remembering your choices (Article 6(1)(f)).
How long
The cookie choice: 6 months. The language: until you clear your browser’s site data.

Reviews on our home page

What
The name, rating and text of reviews that people have published about us on Google.
Source
Our public Google Maps profile, from which we copy the reviews.
Why
To show visitors what our clients say about our work.
Lawful basis
Our legitimate interest in showing public reviews about us (Article 6(1)(f)).
How long
While the review is published on Google and we show it on our website. To ask us to remove your review from our website, email hello@sparcley.co.uk.

Our legitimate interests

Where we rely on legitimate interests, they are:

  • replying to the enquiries and messages we receive;
  • protecting the contact form and our mailbox from spam and abuse;
  • running the website securely and fixing errors;
  • showing public reviews about our work.

You can object to this processing at any time (see Your rights).

Do you have to give us your data?

No. You choose whether to contact us. If you use the contact form, we need your name, email address and a message so that we can reply; choosing a service is optional. Analytics cookies are optional and stay off unless you accept them.

Who we share your data with

We share personal data only with the providers we use to run the website and handle enquiries, and only for the purposes above:

  • Vercel Inc. – hosts the website and processes the server logs.
  • EmailJS Pte. Ltd. – delivers the messages you send through the contact form.
  • Google – Gmail, which EmailJS uses to send form messages to us; reCAPTCHA on the contact form; and, only with your consent, Google Analytics, provided by Google Ireland Limited, and our Google tag (GT-M6BPSTFP).
  • Hostinger – hosts our hello@sparcley.co.uk mailbox.
  • Professional advisers (for example accountants or lawyers) and public authorities, when the law requires it.

We do not sell your personal data.

For Google Analytics, see how Google uses information from sites or apps that use its services.

International transfers

Some of these providers process personal data outside the UK, including in the United States (Vercel, EmailJS and Google). When personal data leaves the UK, the transfer relies on UK adequacy regulations where they apply, or on the ICO’s International Data Transfer Agreement or Addendum.

To get a copy of these safeguards, email hello@sparcley.co.uk.

How long we keep your data

  • Enquiries: We keep your enquiry for as long as we need it to reply to you and deal with any follow-up. If you become a client, it becomes part of our client records, which we keep for as long as we work with you and afterwards for as long as the law requires (for example, tax and accounting rules). If you do not become a client, we delete your enquiry once we no longer need it.
  • Analytics: user-level and event-level data for the retention period set in our Google Analytics account, which is no longer than 14 months; the cookies last up to 2 years.
  • Server logs: a short period, kept by our hosting provider for security and troubleshooting.
  • Your cookie choice: 6 months. Your language choice: until you clear your browser’s site data.
  • Reviews: while they are published on Google and shown on our website.

Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict how we use your data;
  • receive your data in a portable format, where we use it on the basis of consent or a contract;
  • withdraw your consent at any time, which is as easy as giving it: use “Cookie settings” at the bottom of any page.

Your right to object: you can object at any time to our use of your personal data based on legitimate interests. We will then stop, unless we have compelling legitimate grounds that override your interests or we need the data for legal claims.

To use any of these rights, email hello@sparcley.co.uk. We reply within one month and may first need to confirm your identity.

Automated decisions

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. reCAPTCHA automatically checks whether a form submission is likely to come from a bot; if it stops you, you can always email us at hello@sparcley.co.uk.

Complaints

If you are unhappy with how we use your personal data, please complain to us first at hello@sparcley.co.uk. We acknowledge complaints within 30 days and tell you how we will handle yours.

You also have the right to complain to the ICO, the UK data protection regulator: ico.org.uk/make-a-complaint, helpline 0303 123 1113. If you live in the EU, you can also contact your local data protection authority.

Cookies

We use necessary cookies and local storage and, only with your consent, Google Analytics cookies. Our Cookie Policy lists each one, what it does and how long it lasts.

Security

Our website is served only over HTTPS. Please do not send sensitive personal data, such as health or financial details, through the contact form.

Children

Our website is for businesses and is not aimed at children.

Social media and other websites

Our website links to our profiles on Facebook, Instagram, YouTube, Pinterest, Behance, Dribbble and Google, to WhatsApp, and to share links for X, Facebook and LinkedIn on blog posts. These are links only: nothing from these platforms loads on our pages until you click. Once you follow a link, the platform’s own privacy and cookie policies apply.

Changes to this policy

We update this policy when the way we use personal data changes. The date at the top shows when it was last updated.
