Our supplier import work

What is supplier product import, and who is it for?

Supplier product import is the automatic transfer of products, prices and stock from your suppliers' data into your online shop, kept in sync without manual edits.

It is built for UK online shops that resell or dropship from several suppliers and no longer want to update prices and quantities by hand.

Without it, the same problems keep coming back:

  • Prices and stock are copied from supplier files by hand, one supplier at a time.
  • Customers order items your supplier no longer has, because stock that is out of sync with your supplier waits for the next manual update.
  • A supplier raises a price and your margin shrinks until someone notices.

An automated import replaces this with one catalogue that updates itself and applies your pricing rules. When a supplier's item sells out, for example, the next scheduled import marks it out of stock instead of leaving it on sale.

What does supplier product import include?

Supplier product feed import and supplier stock synchronisation are the core of the service: every supplier import we build covers supplier data review, field mapping, stock and price sync, pricing rules, category rules and import reports.

Supplier data review and field mapping

We review the structure and quality of each supplier's data, then map its fields – names, codes, prices, stock, categories and images – to your product structure. Items are matched between imports by a code that never changes.

Supplier stock and price sync

Prices and stock levels update automatically across all connected suppliers, on a schedule agreed for each supplier, so your shop follows their data without manual edits.

Automatic markup on supplier prices

Pricing rules turn each supplier's price into your selling price, set per supplier and per category, and the next import applies your markup to any new supplier price.

Category rules, images and duplicate checks

Category and filter rules place each new product in your category tree, images are imported with the product, and items sold by more than one supplier are caught before they appear twice. For very large catalogues, see AI product categorisation for large supplier catalogues.

Import reports and alerts

Every import run is logged, and you get an email alert when supplier data fails or does not match.

Guarantee terms in the quote

The quote states the guarantee terms for the import. When the import is part of a new shop we build, the 12-month website guarantee covers it.

How much does supplier product import cost?

Supplier product import is quoted per project, because the price depends on how many suppliers you connect, how their data is structured and which pricing rules you need.

Catalogue size, the categories to map and your platform also count, as does how complex the supplier data is (nested fields, variants).

If you run OpenCart 3 and prefer to do it yourself, our Supplier Import module costs $69 on the OpenCart Marketplace, with 12 months of free support; setup by us is quoted separately.

Every eCommerce website from Sparcley includes integration with 1 supplier or upload of up to 50 products.

Payment follows our standard schedule: 30% upfront, 40% when development is complete and 30% on approval and handover.

Not included

  • Passing orders to suppliers – we confirm it per supplier, once we know how that supplier takes orders.
  • Building a new online shop – that is our eCommerce website service.

Send us a sample of your supplier's feed and we will tell you whether it maps cleanly.

How long does a supplier import project take?

Every eCommerce website from Sparcley includes integration with 1 supplier or upload of up to 50 products, and the build takes about 5 weeks; for an existing shop, we confirm the timeline in the quote after reviewing your supplier's data.

We check each supplier's data – structure, fields and quality – and agree the import plan.

  2. Map fields and set rules

We map the fields and set the category, pricing and duplicate rules for each supplier.

  3. Build and test on staging

We build the import and test it with live supplier data on a staging copy of your shop.

  4. Go live

The import goes live on its agreed schedule, and every run is logged in the import report.

Which platforms can supplier products be imported into?

We build supplier imports for WooCommerce, PrestaShop and OpenCart, and for bespoke PHP and Laravel stores.

WooCommerce

On WooCommerce, the import creates and updates products, prices and stock in your existing store, as in the window coverings store above.

OpenCart

On OpenCart 3, we can configure our own Supplier Import module for your suppliers on a staging copy of your store. Themes, custom modules and other store work are covered by our OpenCart development service.

PrestaShop

We build supplier imports for PrestaShop too, with the same review, mapping and testing steps.

Bespoke PHP and Laravel stores

For shops on bespoke PHP or Laravel code, we build the import into your own codebase, with the same mapping and pricing rules.

Supplier import for WooCommerce: plugin or custom integration?

A plugin is usually enough for one supplier with a clean, stable feed that you are happy to manage yourself; a custom integration pays off when you have several suppliers, pricing rules per supplier or category, products that overlap between suppliers, or data that needs cleaning before it reaches your shop.

FactorA plugin fits when…A custom integration fits when…
Suppliersyou have one supplieryou have several suppliers
Supplier datathe feed is clean and stablethe data needs mapping, cleaning or merging
Pricingone markup is enoughrules differ by supplier or category
Overlapping productssuppliers do not sell the same itemsthe same product comes from more than one supplier
Upkeepyou maintain the mapping yourselfyou want us to build and test it

Plugin no longer keeping up? Send us a sample of your suppliers' data and we will say whether a custom integration is worth it.

How does stock sync for WooCommerce work?

Stock sync for WooCommerce updates your store's stock levels and prices from each supplier's data on a schedule agreed for that supplier, so the stock customers see follows what suppliers can deliver. Unmatched items are logged for review before a customer orders them.

Supplier Product Import FAQ

How much does supplier product import cost?

Supplier product import is quoted per project, because the price depends on the number of suppliers, how their data is structured and the pricing rules you need. Send us a sample of your supplier's feed and we will reply within 24 business hours.

How long does it take to set up a supplier import?

Every eCommerce website from Sparcley includes integration with 1 supplier or upload of up to 50 products, and the build takes about 5 weeks. For an existing shop, we confirm the timeline in the quote after reviewing your supplier's data.

Can you import products from several suppliers into one shop?

Yes. Each supplier gets its own field mapping and rules, and products sold by more than one supplier are checked for duplicates before they reach your catalogue.

Can markups be set automatically for each supplier or category?

Yes. Pricing rules are set per supplier and per category. In our OpenCart module, a rule can also match a brand or a price range, and exactly one rule sets each price, so markups never stack.

What happens if a supplier feed breaks or a product disappears from it?

Failed or inconsistent data is logged and you get an email alert. In our OpenCart module, products that leave the feed are disabled, never deleted, and a run that would disable more than 10 products or 20% of a supplier's enabled products, whichever is larger, disables nothing.

Can you also pass orders to my suppliers?

Not as part of the standard import, which covers products, prices and stock. Tell us how your supplier takes orders and we will confirm what fits before we quote.

Can I install your OpenCart module myself instead?

Yes. Supplier Import costs $69 on the OpenCart Marketplace, includes 12 months of free support and runs on OpenCart 3.0.x with PHP 7.4 or newer. If you are unsure whether your supplier's data will work with it, send us a sample before you buy.

What happens after the import goes live?

The quote states the guarantee terms; when the import is part of a new shop we build, the 12-month website guarantee covers it. With a monthly website maintenance package, we can watch the import reports for you.
